Supplier Dispute Resolution Process
At Seedler, we value transparent and constructive relationships with our suppliers. In the event of a dispute, our Supplier Dispute Resolution Process is designed to ensure fair, efficient, and collaborative resolution.
Key Features:
Identification of Dispute:
Either party may identify a dispute. This can arise from issues related to product quality, delivery delays, contractual disagreements, or other concerns.
Notification:
The party identifying the dispute initiates the process by providing a written notice outlining the details of the dispute. This notice should include relevant documentation and evidence supporting their position.
Dispute Review:
A designated dispute resolution team, independent of the involved parties, reviews the provided information. This team assesses the nature and severity of the dispute, ensuring a fair understanding of both perspectives.
Collaborative Discussion:
A structured meeting is facilitated, bringing together representatives from both parties to discuss the dispute. The aim is to encourage open communication, share perspectives, and explore potential resolutions collaboratively.
Mediation (optional):
If needed, an impartial mediator may be engaged to facilitate discussions and help parties find common ground. Mediation is a voluntary process, and both parties must agree to its use.
Resolution Proposal:
Based on the collaborative discussions and mediation (if applicable), a resolution proposal is drafted. This proposal outlines agreed upon actions or changes to address the dispute.
Approval and Implementation:
Upon mutual agreement, both parties approve the resolution proposal. Implementation of the agreed upon actions is initiated promptly.
Escalation (if necessary):
If resolution cannot be reached through collaborative efforts, the dispute may be escalated to higher management levels within both organisations.
Continuous Improvement:
Post resolution, a review is conducted to identify areas for process improvement and prevent similar disputes in the future. Feedback is welcomed and used to enhance our supplier relationships.
Documentation:
Every step of the dispute resolution process is documented for future reference, allowing us to learn from experiences and continually refine our processes.
At Seedler, we believe that effective dispute resolution strengthens partnerships. This process aims to uphold the principles of fairness, transparency, and collaboration, fostering enduring and positive relationships with our valued suppliers.
